When users last changed their passwords

Description

If an administrator wants to know when users last changed their passwords, they can look it up using this report.

For example, if a user logs a help desk ticket stating they can’t log in to Office 365, and the user doesn’t remember changing their password. The administrator can use this report to see if (and when) the user did, in fact, change their password.

The report also includes is a chart that shows the usage locations of accounts. After all, some organizations may have different policies in different regions. So, maybe a user in a certain location is required to change their password more often than someone in other locations.

Users with Visio licenses

Description

This report section lists users with Visio licenses, including the User Display Name, Department, Country, and the license assigned to the user.

The table includes the User AD status. This allows you to see any licenses assigned to disabled users, which could be potentially be re-assigned to an active user.

The table also contains the manager of the user who has a Visio license. This makes it easy for you to contact the individual managers to verify users still need the Visio license.

The table displays the first 50 users with a license. You can page through these users or search for specific users.

Additionally, you can download the CSV file directly from the table.

Who has a Microsoft Visio license?

Microsoft Visio licenses are sometimes in short supply in organizations, so knowing who has a license assigned to them at the moment is important.

License assignment by company

Description

This heat map is for larger organizations with different operating companies. It shows the count of license types throughout the company. The X axis of the heat map is the license set, and the Y axis is the company name.

Organizations are limited to 50 results. If an enterprise has more than 50 operating companies, these are summarized in the ‘Other’ section. The report can be configured to display fewer or more companies.

What questions does this report address?

How many licenses of each type are allocated to each operating company?

This is a useful report if an enterprise is using, or considering using, a charge-back method for license assignment and cost recovery.

Description

This heat map shows the number of assigned license types throughout the department. The X axis of the heat map is the assigned license set, and the Y axis is the department.

The department is limited to 100 results. If there are more than 100 departments, those over 100 are summarized in the Other section. You can configure the report to show fewer or more departments. Or, you could limit the report to departments in a specific country by creating an additional filter.

How many licenses of each type are allocated to each department?

Use this report to determine how licenses are distributed across the organization. This report is also helpful if your organization is using, or considering, any kind of charge-back model.

Description

Description

This report shows a heat map break-down of license types. License types are broken down by department, country, and company. This report gives a quick overview of the distribution/location of main base licenses, like E3 and E5. It also has a series of pie charts illustrating the distribution of licenses.

A list of user base license assignments and last usage date

Description

This table report section shows username (UPN), department, and type of recipient (User, Mailbox, Disabled User), as well as the license in a boolean format (Exchange, OneDrive, SharePoint, Teams).

The report shows the last activity date for the same workloads (Exchange, OneDrive, SharePoint, and Teams).

This report can be used to identify disabled users who have licenses assigned, or users with no activity for XX days and an assigned license, or users that are not using all the capabilities of an advanced license (and could be downgraded).

What questions does this report address?

Which user has which license assigned?

Licenses can be expensive. Having visibility of who has which licenses assigned to them, you can manage this expense more effectively.

When was each main workload accessed by users?

Having a license assigned to a user and having that user utilize the workload associated with that license are two different things. A user might not be actually using the workload they have access to. This report will make it clear which users access which workloads.

Are there users I can downgrade from E5 to E3 or from E3 to E1?

If users have not accessed a workload in a long time, you might want to downgrade their license. This report shows information you can use as you decide if users have appropriate licenses. This could save your organization money or free up advanced licenses to be used in other parts of the organization.

Users with E3 licenses without ProPlus activations

I want a report that shows…

A list of users with E3 licenses who haven’t activated their ProPlus license

Description

This table shows all active users with E3 licenses, where there has been no activation of ProPlus (Microsoft Office applications). This indicates that there could be an option to downgrade the users for a E1/F1/F3, depending on their other needs, like the need for DLP.

To enable better analysis, the list also contains the main workloads (Exchange, Teams, OneDrive, SharePoint, and Skype) and the last time activity was seen on these workloads.

The list also contains the mailbox size and the OneDrive size since these are parameters that dictate the ability to downgrade.

Consider downloading the report in XLS, CSV format and validating the data before performing any downgrades.

What questions does this report address?

Which users have an E3 license, but have not activated Office and as such could they be downgraded?

E3 licenses are an expensive commodity. If you have a large number of users with E3 licenses who haven’t activated any Office applications, it can indicate you might be able to downgrade those licenses, saving money.

Which users have not activated their Office apps?

Unused licenses could be costing your organization money. Unused licenses might be an indication that training is needed for those users who haven’t activated any Office applications.

Can I downgrade any users who have an E3 license?

If users are not using all of the features of their assigned license perhaps they can be downgraded to a different license to save money. Or, maybe those licenses could be used somewhere else in the organization.

A list of licenses purchased in a tenant

Description

This table shows licenses purchased for the tenant, including trial licenses. It shows a count of the licenses and when the cycle time (renewal time) is due for a specific license.

This report will work across tenants, but it doesn’t list the name of the tenant in which the license is found.

What questions does this report address?

Which licenses are purchased within a tenant?

One of the first steps in managing cost and licensing within a tenant is knowing which licenses exist. This report shows licenses in a tenant and the count of each license.

Which licenses are in a tenant as trial licenses?

Trial licenses are often used to test new Office 365 capabilities. They are free for a period of time. If they’re used by the business, they may eventually incur a cost if they’re changed from trial to permanent licenses. This report shows these types of licenses.

What is the cycle time for renewals of purchased licenses?

It’s important to know when licenses are due for renewal so you can predict future expenses.
